How do I know if we need HubSpot in the first place?

If you have a sales team or marketing team (or both), HubSpot usually pays for itself. The question isn't whether to buy it, but how to use it. We've seen companies with 3-person sales teams get real value, and we've seen 50-person sales organizations get zero value because their system wasn't set up right.

Do we need both Sales Hub and Marketing Hub?

Depends on your business. If you have both a sales team and a marketing team, connecting them through one system usually saves money and increases conversions. But if you're primarily sales-driven with minimal marketing, Sales Hub is enough. We'll tell you what makes sense during the audit.

What if we've never used a CRM before?

That's actually easier sometimes because there's no bad habits to unlearn. We design the system around how you actually work, train your team on the basics, and stay close for 30 days. Most companies without prior CRM experience adopt our systems faster than companies switching from something else.

Can you help us migrate data from our old CRM?

Yes. Data migration is complex and risky, but we do it routinely. We assess your current data quality, plan the migration, execute it carefully, and validate the results. Expect this to add 1-2 weeks to a project and €500-€2,000 to the cost depending on data volume and cleanliness.

What if we don't have HubSpot yet — can you still help?

Absolutely. A good chunk of our clients come to us before they've even signed up. We help you pick the right Hub (Sales, Marketing, Service, or a combination), the right tier (Starter, Professional, Enterprise), and make sure you're not paying for features you won't use. As a Platinum Partner, we know the product inside out.

Can you help us figure out if we're on the right HubSpot license?

Yes, and we do this in every audit. We regularly find companies paying for Enterprise when Professional would cover them, or stuck on Starter when they actually need Professional features. A license review is included in every package — we'll tell you if there's money to save or features you're missing.

What if we have a custom system or special workflow that's not standard HubSpot?

We can usually build it or find a workaround. HubSpot is flexible, and we know the product deeply. Some things are possible with native HubSpot, some need custom integrations. We'll assess during the audit and tell you what's possible and what it costs.

Pricing

Why do you say "from €2,500" if prices go higher?

Because they do. The base price is €2,500, but the final cost depends on how messy your system is and how much custom work you need. We give you a detailed proposal with a fixed price before we start. No surprise billing.

What if I can't afford the full package upfront?

We work with companies on payment structure. Most do 50% upfront, 50% at launch. Some do three payments. If budget is a hard constraint, let's talk about what's possible. Sometimes a smaller project first (like a System Audit) makes sense, and then you scale up later.

Is the €250/month retainer worth it?

Depends on your situation. If you have a small team and you're confident managing HubSpot yourself, you probably don't need it. If you're scaling and you want HubSpot to keep improving without doing the work yourself, it's usually worth it. Most clients find the first optimization suggestion pays for a month of retainer fees.

Why not just use a freelancer who charges less?

You might. But cheaper consultants tend to be junior or build fast without worrying about adoption. Our clients come to us after a bad experience with a cheaper consultant. Usually, the cost of fixing a mess is higher than the cost of doing it right the first time.

Process

How long does implementation actually take?

Most projects are 4-8 weeks from audit to launch. Some simpler audits are 2-3 weeks. Some companies with complex needs or large data migration might need 10 weeks. We give you a clear timeline during the proposal.

What's your availability like?

We're currently booking projects 2-3 months out. So if you book in April, you'd start in June or July. If timing is urgent, let us know during the call — sometimes we have cancellations or can shuffle the timeline.

Will implementation disrupt our daily work?

Minimally. During the audit and design phase, it's just meetings. During the build phase, we work behind the scenes. We go live on a date that makes sense for your calendar. For the 30 days after launch, we're available for questions but you're working with your normal routine.

How much time do we need to commit?

During audit: 3-4 hours total. During design: 2-3 meetings, 1-2 hours each. During build: mostly us. At launch: 1 full day of training. Then 30 days of optional support as needed. Most companies commit 5-8 hours total to the project.

After Go-Live

What if something breaks after you leave?

Your portal won't break. We set it up so it's stable. But if something does go wrong, you can email us and we'll fix it. Most issues are user questions (not bugs), and we help with those during the 30-day hypercare period.

How do we scale if our company grows?

+

The system is designed to scale. As your team grows, you add more users, assign more deals, run more automations. HubSpot handles that without issue. If you need process changes, that's where the monthly retainer helps — one optimization per month.

Who maintains the system after we're independent?

You do, with documentation we provide. We'll give you a playbook for common tasks (adding a field, updating a workflow, generating a report). For bigger changes, you can either figure it out or bring us back in for a retainer month.

What if our team can't adopt it?

+

Talk to us before giving up. Usually adoption problems mean the system doesn't match how the team actually works. That's fixable. We can adjust workflows, change dashboards, or realign the process. This is exactly why we do 30-day hypercare.
